CCSCNE Membership Meeting, April 24, 1999

Reports:

Viera Proulx reported that all money to and from CCSCNE now goes through the national CCSC. The regional board no longer has any responsibility for tracking finances. Profit from our conferences will still be credited to our account at the national, but some funds may be used to help other, less successful regions.

In addition, the national was favorably impressed with the Web site and the handling of the submitted papers and reviews. They will use ours as a model for the rest of the regions.

Various members voiced concerns over the late or non-existent mailing of the preliminary program. Viera will work on this with Cathy Bareiss. The Publicity chair (Frank Ford) will work on keeping the mailing lists up to date so this is less likely to happen in the future. We also must be sure that the speakers get programs.

The final form of the program is the responsibility of the Publicity chair and the local arrangements people. Publicity chair should keep the program in whatever form he wants.

John Meinke prefers that papers be submitted in WordPerfect format. ASCII and older versions of MS Word are acceptable because they can be easily transformed to Word Perfect.

The proceedings arrived just in time for the meeting, the Monday before the conference. Original copy of the proceeding was mailed to the U.S. printers on February 26. It was not certain whether there was an inadvertent delay in getting the final proceedings to the conference or it was planned to arrive just in time in order to reduce storage needs.

Alliance with ACM is still being worked on.

The final number of papers submitted was 38. Nineteen papers were accepted for an acceptance rate of 50%.

Next year will be the 5th anniversary of the conference. Amruth Kumar has suggested having a cruise around Manhattan. A review of the finances for the conferences showed that the $95 fee is divide as follows: Proceedings $5, National $35, food $35. This leaves approximately $20.

Frank Ford rapidly compiled the conference evaluation sheets. He found that the speakers, especially Van Dam, were very well received. In general, it seemed that the overall evaluation was very good.

Minutes of the January 9, 1999, meeting were approved.

Various ideas were floated for celebrating the 5th anniversary of the conference.

    1. Boat ride around Manhattan
    2. Special dinner
    3. Complimentary laser pointer given to all participants.

The complimentary item was the best received. The boat ride was approved in the last meeting, but was thought to be too expensive at this meeting.

It was also suggested that funds be expended to encourage more socialization at the conference. A well stocked social hour with reasonable amounts of beer and/or wine might help. Birds of a feather sessions were also suggested. (It was also noted that 80% of registrants attend the banquet, in general.)

Speaker suggestions for next year's conference were made.

Board members should notify Viera with any other suggestions.

The budget was distributed with the minutes of the last meeting. Figures for this year were not included. Viera will rewrite the budget in the new form required by CCSC.

Ethel Schuster resigned as a board member and as treasurer. We may not need a treasurer with CCSC taking care of the funds.

Mike Anderson will send C. Welty a copy of the call for papers for the 2000 conference. Welty will put it on the Web.

Amruth went over the maps to and of Ramapo College. It was agreed that better maps and/or excellent written directions should be generated by the Ramapo contingent. Directions to the campus, hotels, and between the campus and hotels will be needed.

For the 2000 conference, vendors need to be near where the sessions are held and the social hour must be at the vendor location. Parking at Ramapo will be fairly close to the conference. All rooms will have overheads, 2 will have LCD, and all will have internet connections. Presenters will return an audiovisual form upon paper acceptance.

Two hotels seem to be the final ones for conference attendees. These are the Inn at Ramsey ($79, 40 room block) and the Ramada ($94, 80 rooms). The Ramada is the most convenient location for getting to and from the conference. It was decided to have small blocks of rooms reserved for Thursday (20 rooms) and Saturday (10 rooms). Thursday rooms are for workshop participants and Saturday for people spending the weekend.

Airports: Newark is big and fairly close. Stewart Airport (Newburgh NJ) is close and underutilized. Welty will put a link to Stewart on the Web.

The Fall CCSCNE conference planning meeting will be on September 11, 1999 from 11 a.m. to 3 p.m. at Ramapo College.

The winter meeting will be on January 8, 2000.

Workshops should be explicitly invited on the next mailing in addition to panels and tutorials.

It was generally considered that the paper judging went well.
