1. Introductions

Attendees introduced themselves, as usual.

2. General Conference Announcements

Hotel

• The conference will be using the Radison near the RIT campus. The quoted rate is $89. We have reserved a "few" nights for the Thursday, approximately 100 for the Friday, and a "few" for the Saturday.
• Our web site is to mention that there are additional hotels in the general area.

Parking

• It was reported that the status of parking is: okay.

Speakers

• The speakers will be: Andries van Dam (Friday) and Mary Jane Irwin (Saturday).
• ACM/SIGCSE has given us $1000 towards our expenses for the speakers.
• The speakers are to be registered for the conference and will be be by us directly so that they do not have to bother with it. Their registration will be sent directly of Frank Ford.

CFP

• It has already been send out.
• RIT is to mail the paper version as part of their institutional contribution. Frank Ford will get it to Paul Tymann who will mail it out ASAP. It will be sent to all CCSC members who have designated the NE region as the one from which they wish to receive literature.

BOF

• The BOF session will be at the dinner.

3. Dates and Deadlines

• Student poster abstracts will not be published in the proceedings but as a separate booklet. It was agreed that the editor (Mike) is to assemble the booklet and that RIT will format and print it.
• RIT's paper productions will put together: the program, the programming contest instructions and problems, the conference evaluation sheets, the announcement for the 2008 conference (which is to be handed out at the conference), folders (to put everything it), and maps.
• Student poster abstracts will be put in the registration packets.
• Student poster names and titles only are to be put on one separate page placed at the end of the program.
• The deadline for the submission of student poster abstracts is Feb 5, 2007.
• The date for the acceptance notification of student poster abstracts is Feb 16, 2007. Students are to be given the following options: accept, not accept, accept with revisions. In this last case, the new date by which they must (re)submit is March 2, 2007. Students may also resubmit, again by March 2, in order to make what might loosely be termed cosmetic changes, such as the improvement of grammar, or the correction of spelling.
• The date by which the student poster abstracts must be submitted in order to get printed is March 5, 2007.
• The following dates were agreed to:

4. Tour

At this point in the meeting a tour of the RIT facilities was taken. We were shown the auditorium; the Fireside Lounge, which is to be used for registration, vendors and breaks; Clark A, B and C, which are to be the session rooms; the locations of the dinner and lunch; and the laboratories to be used for the programming contest.

5. Papers

• Submissions are on-line.
• Paper reviewing is done on-line.
• The same time-table as last year will be used.
• A review of the rules governing who may submit was stated: Paper Chairs may not submit papers, Paper Chairs may not be reviewers, reviewers may not be best paper judges.
• Regrading the paper format, it was noted that we should provide a link to John Meinke's page, expect 10pt font, and allow only six pages with the understanding that this limit is "soft" inasmuch as it is at the the Papers Chairs discretion.

6. Posters

It was noted that the review process is "a bit ad hoc". No further remarks were made or action taken.

7. Panels, Tutorial, Workshops

It was reported that "all is okay".

8. Lunch

At this point lunch was taken.

9. Vendors

• There were fewer vendors in 2006, in fact 4, but we attained more money. In past years, we have had as many as 12.
• Hemant Pendharkar and/or Paul Tymann should contact the local vendors.
• The vendor fees for 2007 are to be the same as those for 2006.
• There was no consensus to increase the vendor fees at present.

10. Programing Contest

• There will be 2 UNIX labs, thereby accommodating 32-36 teams.
• It is possible that there will also be a PC lab available, which would accommodate a further 6-7 teams.
• It was agreed, however, that the UNIX environment alone would suffice.
• Judges are not to know the identities of the members of the various teams.
• It was noted that two judges are sufficient.
• It was agreed that there should be 5-7 problems and that they be so chosen so as to permit most teams to complete 2-3 problems.

11. Additional Items not on the Agenda

• The registration form is to ask: Are you coming to the banquet?
• The banquet will cost $20/head.
• The banquet will provide only two choices for the main course.
• There will be an open bar (wine, beer and soda) from 5-6pm.
